02 / RULES BEFORE AI

Use the simplest method that fits the task.

Clear rule? Use a rule.

Routing by region, creating a task after approval, or copying a confirmed status usually does not need AI. Explicit rules are easier for the team to inspect and test.

Unstructured input? Evaluate assistance.

AI may help summarize an inquiry or suggest a category. Its output can be wrong, so decide what requires human review and what happens when the input is unclear.

Business process automation services should preserve the decisions that need judgment. Automating a step does not remove responsibility for the outcome or eliminate every error.

The happy path is only part of the process.

Triggers and data ownership

Define what starts the workflow, which system owns each value, and how to avoid processing the same event twice.

Review and permissions

Identify approval checkpoints and the authorized access each connection needs. Keep a person responsible for exceptions and sensitive decisions.

Retries and recovery

Agree on retry limits, how failed steps are surfaced, and how someone can resume or correct the work without creating duplicate records.

Monitoring and maintenance

Decide who checks failures and maintains the connections as APIs, fields, credentials, and business rules change.

Scope the connection before promising the outcome.

We map the current handoff, review available APIs and authorized access, and check sample data before committing to an integration approach. Missing identifiers, unreliable data, limited APIs, or usage limits can change what is practical.

Some steps should stay manual. Others may need a small review interface or a change to the underlying process before automation is useful. We test normal cases, duplicates, and failures against an agreed workflow.

If the quoting process itself needs work, explore a connected quoting system. If staff need a shared place to review and act, consider custom internal tools.

Privacy & analytics

Woodruff Labs uses Vercel to host this site. Hosting and security requests include information such as your IP address. Contact inquiries are sent through Resend to Woodruff Labs so we can respond; they include the details you submit and your selected service.

Quote Builder processes your entries and logo in your browser to generate a PDF. Our website does not upload that quote content or save it to an account.

Optional Google Analytics 4 helps us understand page visits, service-link clicks, accepted inquiries, and when the browser initiates a PDF export. Export measurement does not confirm that you saved the file. Analytics does not receive your name, email, contact message, company details, quote items, prices, totals, or logo from our forms and tools. We omit URL queries, fragments, and referring URLs from measurement.

If you allow analytics, Google receives browser and device information and uses a random cookie identifier to distinguish visits. Requests also reach Google from your IP address. Analytics cookies last up to 180 days; our choice preference is stored in this browser for 180 days. We use a two-month retention setting for event-level analytics data. Google may process data on servers outside your country.

We do not use advertising personalization, Google signals, automatic form tracking, or session replay. How Google uses information from partner sites.

You can change your choice here at any time. Declining stops future analytics collection and removes this site’s analytics cookies, without interrupting your form or quote. It does not erase previously collected data. For privacy questions, contact Woodruff Labs.
